1. Office Management Secretary II – 4 Posts

Duties and Responsibilities

  • Typing general correspondence and other non-confidential documents.
  • Preparing letters, minutes, notices, bulletins, circulars, certificates, and charts.
  • Printing reports, letters, and other office documents.
  • Taking proper care of office machines and ensuring they are used strictly for official duties.
  • Filing copies of typed documents in the relevant files.
  • Receiving and directing visitors to appropriate offices.
  • Attending telephone calls and taking messages.
  • Performing any other related duties assigned by the Supervisor.

Qualifications and Experience

Applicants must possess:

  • Form IV Certificate of Secondary Education with passes in Kiswahili and English.
  • Diploma in Office Management/Secretarial Studies (NTA Level 5) from a recognized institution.

Applicants must also have:

  • Shorthand speed of 100 words per minute.
  • Typing speed of 50 words per minute.
  • Competence in tabulation and manuscript stage II.
  • Knowledge of secretarial duties and office procedures stage II.

2. Receptionist II – 2 Posts

Duties and Responsibilities

  • Receiving visitors to the University and directing them to appropriate officials.
  • Attending incoming telephone calls and directing them accordingly.
  • Receiving incoming mails and forwarding them to secretaries or respective officials.
  • Ensuring proper organization and management of the front office.
  • Maintaining registers for various office activities.
  • Performing any other related duties assigned by the Supervisor.

Qualifications and Experience

Applicants must possess:

  • Form IV or Form VI Certificate.
  • Certificate in one of the following fields:
    • Front Office Management
    • Telephone Operation
    • Reception
    • Front Office
    • Or equivalent qualifications from a recognized institution.

Applicants must also have:

  • Good communication skills in both Kiswahili and English.

Salary Scale

GENERAL CONDITIONS

Applicants must:

  • Be Tanzanian citizens.
  • Not exceed 45 years of age.
  • Attach certified copies of academic and professional certificates.
  • Upload a recent passport-size photograph.
  • Indicate three reputable referees with reliable contacts.
  • Ensure foreign certificates are verified by relevant authorities such as TCU, NECTA, or NACTVET.
