Job Summary

The Administration and Public Relations Manager will oversee and manage all administrative operations to ensure efficient office management, compliance with regulations, coordination of travel and accommodation, security management, and staff support services.

Key Responsibilities

Administrative Management

  • Supervise daily office operations and administrative staff.
  • Maintain records, documentation, and office assets.
  • Ensure cost-effective administration functions.

Security Management

  • Coordinate office and facility security systems.
  • Monitor access control and incidents.
  • Supervise security personnel and providers.

Permits and Visa Management

  • Handle work permits, visas, and related documentation.
  • Ensure compliance with immigration regulations.

OSHA and Safety Compliance

  • Conduct safety inspections and risk assessments.
  • Provide safety training and maintain incident reports.

Travel and Logistics Management

  • Coordinate local and international travel arrangements.
  • Manage flight bookings, itineraries, and travel documents.

Accommodation and Residential Management

  • Oversee staff accommodation and company residences.
  • Coordinate utilities, maintenance, and landlord relations.

Vendor and Stakeholder Management

  • Maintain relationships with vendors, contractors, NGOs, and government institutions.
  • Negotiate contracts and monitor service delivery.

Compliance and Reporting

  • Prepare operational and cost reports.
  • Support audits and inspections.

Public Relations

  • Build and maintain strong relationships with government ministries, regulatory bodies, and external partners.

Qualifications and Experience

Applicants should possess:

  • Bachelor’s Degree in Business Administration, Management, or related field.
  • Minimum of 5–8 years of experience in administration or operations management.
  • Experience in visa/permit processing and travel coordination.
  • Knowledge of OSHA and occupational health standards.
  • Strong communication and organizational skills.
  • Excellent problem-solving and decision-making abilities.
  • High level of integrity and attention to detail.
